ZAMBIA INSTITUTE OF SECRETARIES (ZIS) EMPLOYMENT OPPORTUNITIES The Zambia Institute of Secretaries (ZIS) is a statutory professional body established under the Zambia Institute of Secretaries Act No. 19 of 2022 to register and regulate the secretarial profession in Zambia. ZIS invites applications from suitably qualified, competent and experienced Zambians for the following positions: 1. ACCOUNTS ASSISTANT Job Purpose To support the Finance function through transaction processing, accurate record-keeping, reconciliations and sound financial administration. QUALIFICATIONS AND EXPERIENCE Applicants should have: Diploma in Accounting or Finance or a related field from a recognised institution. A bachelor’s degree in accounting or progress towards ZICA/ACCA is an added advantage. Full Grade 12 Certificate (five ‘O’ Levels with credits or better). At least three (3) years’ relevant accounting or finance experience. Knowledge of accounting principles, financial procedures, Microsoft Office (especially Excel) and accounting software. Membership of the Zambia Institute of Chartered Accountants (ZICA). Strong numerical, analytical, organisational and communication skills, with integrity, accuracy and ability to meet deadlines. 2. PERSONAL ASSISTANT Job Purpose To provide professional and confidential secretarial and administrative support, including correspondence, records, scheduling and daily office operations. QUALIFICATIONS AND EXPERIENCE Applicants must have: Diploma in Secretarial Studies and Office Management, Business Administration or a related field; a relevant bachelor’s degree is an added advantage. At least five (5) years’ relevant secretarial or administrative experience, preferably in a professional or institutional environment. Typing/shorthand speed of at least 55/100 words per minute with high accuracy. Full Grade 12 Certificate (five ‘O’ Levels with credits or better). Membership of the Zambia Institute of Secretaries. Proficiency in Microsoft Word, Excel, PowerPoint and Outlook, with strong minute-taking, transcription, document preparation and records-management skills. Excellent communication, organisation and interpersonal skills, with confidentiality, integrity, reliability, attention to detail and ability to work independently or in a team. 3. COMPLIANCE AND MEMBERSHIP REGISTRATION OFFICER Job Purpose To support the Institute’s regulatory mandate by monitoring and enforcing the Act, regulations, professional standards, codes of conduct and ZIS policies. The role includes compliance monitoring, inspections, investigations, reporting and follow-up on non-compliance. QUALIFICATIONS AND EXPERIENCE Applicants must have: Diploma in Law, Compliance, Risk Management, Business/Public Administration or a related field; a relevant degree or professional qualification is an added advantage. Full Grade 12 Certificate (five ‘O’ Levels with credits or better). At least three (3) years’ relevant experience in compliance, regulation, inspection, risk management or investigations. Experience in regulatory enforcement or with professional, statutory or membership-based bodies is an advantage. Sound knowledge of regulatory frameworks, compliance principles, professional standards and enforcement processes. Strong investigation, analytical, report-writing and Microsoft Office/database skills. Ability to conduct objective inspections, engage stakeholders, travel and meet deadlines. Excellent communication and negotiation skills, with integrity, impartiality, confidentiality, professionalism and attention to detail.
