Application preparation

An accounts assistant CV should show how you keep records accurate, trace differences and communicate unfinished work. Employers may divide tasks differently between accounts clerks, finance assistants and accountants, so match the actual duties rather than relying on the title alone. This is an application guide and does not confirm current vacancies or provide accounting advice for a real business.

Turn requirements into evidence

Highlight the advert's responsibilities and put a genuine example beside each one. For invoice processing, explain the documents you checked and who approved exceptions. For reconciliation, explain how you compared records, recorded differences and referred unresolved items. For filing, describe how another person could locate the supporting document. Distinguish preparing information from authorising a transaction.

A useful evidence note has four parts: source document, check, exception and follow-up. A fictional example is: “Compared supplier statements with the purchase ledger, identified an unmatched credit note and sent the supporting reference to the accountant for review.” It demonstrates a process without inventing savings or implying authority to approve a payment.

Practise a simple reconciliation exercise

Create a personal practice file using invented transactions, clearly labelled as sample data. For instance, put three invoices of 100, 150 and 200 units in a ledger, then compare them with a statement containing the same invoices and a 20-unit credit note. Explain why the totals differ and which evidence you would request before making any change. The goal is an audit trail, not simply forcing both totals to match.

Add columns for document reference, date, ledger amount, statement amount, difference and follow-up status. Check for duplicate references and missing documents. Keep the original sample data unchanged and document any proposed correction separately. In an interview, discuss the reasoning and approval process instead of presenting a spreadsheet with unexplained adjustments.

State software skills at the right level

If you mention Excel, be ready to demonstrate the functions and checks you claim to know. Sorting, filters, basic formulas and lookup work are different from advanced modelling. Name accounting software only where you have used it, and explain whether that use was in employment, training or a demonstration environment. Never include an employer's live financial file in your portfolio.

Use clear CV bullets with dates and context. Recent applicants can describe coursework, an attachment or volunteer bookkeeping, but must label it accurately. For example, maintaining a club's expense register is relevant evidence of organisation; it is not the same as independently preparing a company's financial statements.

Submit and prepare for the interview

Build a short cover letter around the exact role, two matching tasks and the requested qualification or study status. Do not claim membership or certification that is incomplete. Check the vacancy's location, reporting line, deadline and submission method. Save the advert and the version of your CV sent.

Practise explaining how you respond to a missing receipt, an unexplained difference or pressure to skip an approval. A careful answer identifies what you know, what you need to verify and who can authorise the next step. Your examples should show accuracy and boundaries, not willingness to make unsupported entries to finish quickly.
