About the Role We are looking for a highly organised, proactive and detail-oriented Administration Assistant to join our team in Lusaka. The successful candidate will provide day-to-day administrative support to the office while working closely with the Sales Team to ensure that administrative tasks, meetings, documentation and follow-ups are handled efficiently and professionally. Key Responsibilities Provide general administrative and office support on a day-to-day basis. Assist the Sales Team with administrative tasks and coordination. Schedule and arrange online meetings and appointments. Prepare meeting agendas and relevant documentation where required. Attend meetings, take accurate minutes and circulate them to relevant team members. Track action points from meetings and ensure appropriate follow-ups are completed. Maintain organised electronic and physical filing systems. Prepare, format and manage correspondence, reports, presentations and other documents. Assist with data entry, record keeping and updating internal databases or spreadsheets. Support the preparation and submission of routine administrative documentation. Assist with basic payroll and employee administration. Maintain knowledge and assist with statutory payments and requirements, including PAYE, NAPSA and NHIMA. Liaise with internal departments, clients and external stakeholders when required. Provide general support to management and the wider team as needed. Maintain confidentiality and handle sensitive company and employee information appropriately. Requirements Previous experience in an administrative, office support or similar role. Strong organisational and time-management skills. Excellent written and verbal communication skills. Good attention to detail and accuracy. Ability to take clear, concise meeting minutes and manage follow-up actions. Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook/online meeting platforms. Working knowledge of payroll processes and statutory payments, including PAYE, NAPSA and NHIMA, is highly desirable. Ability to work independently while also supporting a busy team. Professional, reliable and able to maintain confidentiality. A proactive approach with the ability to prioritise and manage multiple tasks.
