About the Finance and Administration Officer Role The successful candidate will support the Finance and Administration Manager by managing key accounting activities and ensuring smooth office operations. This role is critical in maintaining accurate financial records, enforcing internal controls, and overseeing administrative logistics. Key Responsibilities for Finance and Administration Officer Jobs in Lusaka Ensure completeness and accuracy of supporting documentation for payments and procurement processes. Prepare payment requisitions and conduct banking transactions whenever payments are made. Maintain and manage general ledger accounting, including processing invoices, payments, and receipts to ensure timely settlements. Manage petty cash disbursements, replenishment, and regular cash counts. Inspect, verify, and reconcile accounts receivable and payable records and balances. Perform monthly bank reconciliations and prepare monthly management accounts. Maintain accurate records of inventories and periodically update the asset register. Implement and uphold internal financial controls to prevent fraud, errors, and mismanagement of funds. Assist with audits, verifications, and resolving financial discrepancies. Oversee office facilities, equipment, and supplies to ensure a safe and efficient working environment. Support procurement and logistics activities, including management of vehicles and drivers. Coordinate travel arrangements for staff, including bookings, itineraries, and expense reimbursements. Maintain organized and accurate electronic and physical records to support compliance and operational efficiency. Assist in implementing organizational policies and procedures, ensuring company-wide adherence. Prepare payroll in a timely and accurate manner. Qualifications and Experience Required Bachelor’s degree in Finance, Accounting, Economics, or an equivalent qualification. Full membership in the Zambia Institute of Chartered Accountants (ZICA) with all dues paid. Minimum of three years’ proven experience in a similar Finance and Administration Officer role. Strong knowledge of financial and accounting procedures, including experience with financial software such as Pastel and Sage ERP. Advanced proficiency in Microsoft Excel and a solid understanding of financial regulations.
