Key Responsibilities for Accounts Payable Specialist Jobs in Lusaka Accurately process vendor invoices through the accounts payable automation platform. Review invoices for completeness, apply correct General Ledger coding, and manage approval workflows. Ensure invoices are allocated to the correct entity, department, cost center, and subsidiary. Monitor invoice status to guarantee timely payment in line with agreed terms. Maintain and update vendor master records, including setups, banking details, and tax documentation. Communicate professionally with vendors regarding invoice status and payment inquiries. Assist with weekly payment runs by validating invoices and identifying discrepancies or duplicates. Reconcile accounts payable sub-ledgers with the general ledger. Support month-end accruals for outstanding invoices and ensure audit-ready AP records. Contribute to annual vendor tax reporting and maintain organized digital documentation. Ensure compliance with company policies, accounting standards, and internal controls. Escalate invoice coding or purchase order issues to the Accounts Payable Manager as needed. Identify process improvement opportunities within the accounts payable workflow. Support finance projects and additional accounting tasks as required. Qualifications and Experience Minimum of 2 years’ experience in accounts payable within a multi-entity or shared-services environment. Proficient with NetSuite or comparable ERP systems such as SAP, Oracle, or Sage Intacct; NetSuite experience preferred. Familiarity with AP automation or document management platforms like Kefron, Bill.com, or Stampli. Strong written English skills to maintain clear, professional communication with vendors. Intermediate Excel skills, including VLOOKUP/XLOOKUP, pivot tables, and data filtering. Detail-oriented with a track record of high data accuracy in processing large transaction volumes. Ability to thrive in a fast-paced, evolving environment typical of growth-stage companies. Preferred Qualifications Bachelor’s degree in Accounting, Finance, or a related discipline. Experience supporting US-based finance teams remotely or offshore. Knowledge of US vendor compliance requirements such as W-9 and 1099-NEC/MISC forms. Exposure to industries such as construction, utilities, or real estate. Experience with NetSuite OneWorld multi-subsidiary environments.
