Application preparation

Credit-control roles focus on following up receivables, keeping accurate debtor records and communicating unresolved items through the employer's process. They are not identical to accounts-assistant or financial-analyst jobs. This guide helps you prepare job-application evidence for Zambia; it does not provide legal debt-recovery advice or permission to contact real debtors.

Identify the role's actual responsibilities

Read the advert for customer-account reconciliation, statement preparation, overdue follow-up, dispute handling and reporting requirements. Check whether the job includes credit-limit recommendations or only administrative support. Do not claim authority to approve credit, write off balances or negotiate terms if that was not your role.

Create a requirements-to-evidence list. For each responsibility, identify an example from employment, supervised work or a clearly labelled practice exercise. Separate invoicing experience from collections experience, and explain which systems you have actually used.

Build a fictional debtor-ageing exercise

Prepare a small dataset with invented customer codes, invoice dates, due dates, amounts, receipts and outstanding balances. Choose an explicit reporting date. Allocate outstanding items into age bands using the stated due date rather than silently using the invoice date; document the convention you selected.

Include one payment awaiting allocation and one disputed invoice. Explain why an apparent overdue total needs investigation before a customer is contacted. Add control totals so that the ageing schedule reconciles to the underlying outstanding items. All values should be fictitious and clearly marked as practice data.

Track disputes and next actions

Create a separate log with account reference, issue, supporting document needed, responsible colleague, next action and review date. Distinguish a promised payment from a payment actually received. Do not mark an account resolved merely because an email was sent.

Write a short internal note for a disputed delivery charge. State what is known, what needs confirmation and who can approve the next step. This demonstrates careful communication without making legal threats or promises beyond the role's authority.

Demonstrate professional communication

Practise a neutral follow-up message that identifies the relevant fictional statement, asks whether there is a discrepancy and provides the authorised contact route. Avoid aggressive language, disclosure to unrelated people or unsupported claims about consequences. In employment, follow the organisation's approved policies and escalation rules.

For an interview example, describe how you clarified an account difference, coordinated with sales or operations and recorded the outcome. Use real achievements only where documented, and remove customer names and balances from any public example.

Write the CV and check the vacancy

A useful CV bullet connects a task to a control and result: prepared a debtor schedule, reconciled it to source records and highlighted unresolved differences for review. Add scale or timing only if accurate. A certificate or short course does not by itself establish experience managing a customer portfolio.

Before submission, check the role's qualifications, location and current application deadline. Link to a sanitised practice workbook only if the employer accepts portfolio material. Keep the focus on accuracy, respectful communication and reliable follow-through rather than promising to recover every outstanding amount.

Frequently asked questions

There can be overlap, but credit control usually needs specific receivables follow-up and dispute-management evidence. Match the actual advert rather than changing your job title.

Do not share confidential account data. Recreate a clearly labelled fictional example and explain the controls and assumptions instead.
