The ideal candidate will play a vital role in managing our heavy equipment machinery spare parts inventory and ensuring smooth customs clearance processes, contributing directly to operational efficiency and project success. Key Responsibilities for Spare Parts Customs Clearance Officer Jobs in Kitwe Spare Parts Management: Oversee daily operations including incoming inspection, warehousing, classification, labeling, inventory counting, and outbound delivery of heavy equipment spare parts. Maintain accurate inventory records to prevent shortages, backlogs, and losses by regularly updating data and ensuring consistency between accounts and physical stock. Process spare parts purchase demands from workshops and project sites, assist with purchase applications, and monitor the delivery progress of goods. Coordinate distribution of spare parts with warehouse and technical teams to support maintenance and construction activities, enhancing turnover efficiency. Analyze spare parts consumption and inventory status to provide data-driven support for procurement decisions and cost control. Customs Clearance and Logistics: Manage customs declaration and clearance for all imported and exported company goods, including spare parts, machinery, and office supplies. Prepare and submit all required customs documentation such as packing lists, invoices, bills of lading, and customs declaration forms with accuracy and completeness. Ensure compliance with Zambian import/export regulations, tariff standards, and customs procedures, facilitating inspections, tax payments, and goods collection efficiently. Collaborate with freight forwarders, customs brokers, and government agencies to resolve issues during customs clearance and transportation. Maintain organized archives of customs documents and logistics records, and generate regular reports and statistical data. Cross-Departmental Coordination: Work closely with finance, procurement, and project teams to reconcile spare parts costs, logistics charges, and customs-related expenses. Perform additional tasks related to spare parts management and customs clearance as assigned by management. Candidate Requirements Bachelor’s degree or higher in Logistics Management, International Trade, Supply Chain Management, or related fields; candidates with substantial relevant experience will also be considered. Minimum of two years’ experience in spare parts management and customs clearance, preferably with knowledge of Zambian customs processes and local logistics regulations. Experience in heavy equipment machinery sectors or foreign-funded enterprises is advantageous. Proficiency in Microsoft Office applications, especially Excel and Word, for inventory data management and report generation. Strong familiarity with import/export documentation, customs declaration procedures, and inventory control standards. Highly organized, detail-oriented, and capable of independently managing customs clearance and spare parts warehouse operations. Excellent problem-solving skills for handling on-site emergencies efficiently.
