About the Secretary Role – Secretary Jobs in Lusaka As a key administrative professional within the Commercial Department, you will ensure smooth operations by managing a variety of critical tasks. Your expertise will contribute directly to the department’s success by coordinating documentation, meetings, and compliance activities in a fast-paced setting. Key Responsibilities Provide comprehensive administrative support to the Commercial Department to enhance operational efficiency. Assist in preparing, tracking, and managing commercial documentation and project-related administrative tasks. Coordinate complex meeting schedules, prepare agendas, record detailed minutes, and monitor the progress of action items to ensure timely completion. Support drafting, reviewing, and organising commercial contracts and correspondence. Maintain a secure and accessible digital and physical archiving system for all project and departmental records. Manage registrations, permit applications, and compliance filings with government authorities and regulatory bodies. Ensure all departmental documentation complies with local regulatory standards. Perform ad-hoc tasks assigned by management, demonstrating flexibility and a solution-oriented approach. Candidate Requirements and Qualifications Diploma in Business Administration, Engineering Management, or Administrative Management; a Bachelor’s degree is preferred. At least two years of professional experience, ideally within engineering, construction, or a related commercial sector interacting regularly with government agencies. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems. Familiarity with Zambian government procedures, regulatory compliance, and local business practices is highly desirable. Exceptional attention to detail with the ability to manage multiple priorities under pressure. Proven capability to handle sensitive information with discretion and confidentiality. Strong interpersonal and written communication skills suited to a multinational corporate environment.
