Job Posting: Finance & Administration Manager The Sisters of the Sacred Hearts of Jesus and Mary (SSHJM) is an international Congregation of Sisters working in several countries, including Uganda. SSHJM Uganda missionary development programme encompasses the work of two community-based organisations – Children in Need (CHIN) in Mukono central Uganda, and Women and Children First Organisation (WACFO) in Amuru district northern Uganda. Children in Need (CHIN) in peri urban Mukono central Uganda is a community-based organisation implementing a multi-sector development programme with a focus on inclusive health, inclusive education, climate resilient livelihoods and justice and human rights, all in support of children and youth with disabilities, their parents, unemployed youth, and vulnerable women. The Sisters are looking for a dedicated and experienced individual to head the SSHJM CHIN Finance Department and further the organization’s mission JOB TITLE: Finance & administration manager. JOB LOCATION: Mukono Central Uganda. POSITION TYPE: Full-time IMMEDIATE SUPERVISOR: The job holder will report directly to the Project Coordinator. JOB SUMMARY: The Finance and Administration Manager will be essential in managing the organization’s financial and administrative operations. This role will ensure effective financial practices, compliance with legal and regulatory standards, and efficient resource management to support the goals and objectives of SSHJM CHIN. KEY RESPONSIBILITIES: 1. Financial Management: · Oversee and manage all financial aspects of Children in Need (CHIN) programme to achieve organisational goals. · Monitor financial performance, analyse trends, and provide insights to support informed decision‑making. · Track and maintain daily cash flow to ensure clarity, transparency, and accountability. · Ensure full compliance with the Children in Need (CHIN) programme Financial Policy and the Accounting Manual of the Sisters of the Sacred Hearts of Jesus & Mary, carefully monitoring all control procedures. · Provide financial advice and support to the Management Team to strengthen overall project management. · Maintain accurate and up‑to‑date books of accounts for Children in Need (CHIN) programme. 2. Budgeting and Forecasting · Collaborate with Management to develop and manage budgets, ensuring alignment with organisational goals and strategic plans. · Apply financial modelling to support business development, grounded in a clear understanding of CHIN ’s identity and vision. · Assist departmental staff in preparing budgets and monitor expenditure to ensure compliance with approved allocations. · Work with the Management Team to prepare budgets for activities and project proposals Work closely with the IGA team to develop detailed projections for income-generating activities and prepare comprehensive monthly reports that track progress and outcomes. Provide strategic advice to the IGA officer regarding the feasibility and effectiveness of proposed income-generating activities, ensuring they contribute to the long-term self-sustainability of the project. 3. Financial Reporting · Prepare accurate and timely financial reports, including general ledger, payroll, budgets, expenses, profit and loss statements, balance sheets, and cash flow statements. · Ensure all financial reporting deadlines are consistently met. · Maintain books of accounts in readiness for audits. · Manage and update the Assets Register, monitoring all inventory movements. · Produce monthly and annual financial reports as required. · Ensuring compliance with financial regulations and reporting on fleet performance to the CHIN management team 4. Risk Management · Identify and mitigate financial risks, ensuring compliance with all relevant regulations. · Stay informed of legal and regulatory changes that may affect the financial integrity of CHIN. · Promptly alert management to any financial concerns or irregularities. 5. Team Leadership · Lead and manage the finance team, providing clear guidance and support. · Foster a collaborative, accountable, and professional work environment. Encourage continuous learning and capacity building within the team. QUALIFICATIONS AND EXPERIENCE · Professional accounting qualification such as CPA(U), ACCA or equivalent is required. · Experience managing donor/client-funded projects and financial reporting requirements is highly desirable. · Strong understanding of financial systems, budgeting, compliance, taxation and audit processes · Experience of QuickBooks Accounting software. · Excellent analytical and numerical skills · Proficiency in MS Excel, Word, and PowerPoint. · Minimum of 5 years of experience in finance management · Strong time management skills, ethics, and ability to handle confidential data.
